Following are some facts and guidelines to help
explain some important aspects of working with Caribbean Caterers,
Inc.
TASTINGS
Join us for our next Bi-monthly Tasting! Sample our menu,
meet our staff, see our food presentation, and service style.
CONSULTATION To clearly
understand your desires for your reception Caribbean Caterers, Inc. offers you
a free thirty minute no-obligation consultation. This way we can more
effectively help you determine menu choices and the service style that would
both please your guest and create the atmosphere you desire. Additionally, the
discussion must consider the budget you have planned.
PROPROSAL As a result of our consultation
Caribbean Caterers, Inc. will prepare a proprosal for your consideration. Our
proprosal will give a detailed breakdown and line item cost of the
following:
food and
beverage
linen, china and
associated service ware
staffing
and setup and cleanup
details
CONTRACT When you have made a decision to
contract Caribbean Caterers, Inc. we will prepare a contract for your
signature. We require that the contract is signed by both bride and groom. Your
wedding date will be held only when a contract is signed.
INSURANCE A certificate of insurance is
provided for coverage of your wedding. Insurance becomes void when food or
beverage is served that is not prepared by Caribbean Caterers,
Inc.
SERVICE CHARGE AND TAX
Eighteen percent (18%) service charge and state tax will be
added to all Banquet Services.
GUARANTEE
GUEST COUNT We require Guarantee Guest Count six (6) weeks
prior to your wedding (usually after your RSVP date when guest count is more
solid). This will be considered minimum guarantee, not subject to
reduction.
GUEST COUNT INCREASES
You may increase the guest count at the quoted guest rate up
to two (2) weeks before your wedding. Any increases within two (2) weeks of
your wedding may be subject to higher pricing.
PAYMENT SCHEDULE Payments are made in three
increments. One third (1/3) of the contract value is due when the contract is
signed. The second payment is due with the Guarantee Guest Count six (6) weeks
before your wedding. The final payment is due seventy-two (72) hours in advance
of your wedding. The final payment is subject to revision if changes are made
to the contract.
CANCELLATION
The contract may be canceled only by written notification to
Caribbean Caterers, Inc. All contract signers must also sign the cancellation
notification. If cancellation is made earlier than 4 weeks before your wedding
date, the contract is subject to a penalty of 10% of the value of the contract.
If cancellation is made within 4 weeks of your wedding date, the contract is
subject to a penalty of 25% of the value of the contract. Within 1 week of your
wedding date, a penalty no greater than 50% of the value of this contract is
made for cancellation. Appropriate refunds will be made within sixty days of
receipt of written cancellation notification.
WARRANTY We warranty that only the highest
quality fresh ingredients have been used to prepare our dishes. We are
committed to excellence in preparation of all our dishes.
SPECIAL PRICING FOR CHILDREN Children under
age 12 are billed at a special rate as follows:
babies up to age 3 are
no charge (no place settings will be provided)
children ages 3
through 7 are billed at 25% of adult price
children ages 8
through 11 are billed at 50% of adult price.
SERVICE PROVIDERS MEAL Please let us know
how you want to handle the meals for your wedding coordinator, photographer,
videographer, musician, etc. You may select a subset of your guest menu at a
reduced price.
DINNERWARE
China, flatware, and glassware are of the highest quality.
We invite you to visit our office to see samples.
MENU CARDS We will provide a menu card with
your selected menu for each place setting. If you prefer, the menu card can be
included in your reception program (we will provide it on disc in word
format).
WAIT-STAFF DRESS
CODE Formal attire - black slacks or skirt, white tuxedo
shirt and black bow tie. Jackets and cummerbunds may also be
worn.
LEFTOVERS All food
remaining at the end of the reception will be boxed in disposable containers
and placed in the kitchen refrigerator for removal by someone appointed by
you.
CARE BASKET Brides
and Grooms are often too nervous, tired, or just don't take the time to eat
their meal. Ask about our Care Basket, a special meal for two complete with
china, flatware, glassware, and sparkling cider. Care Baskets also make a
perfect gift. We will even include special surprise notes provided to us before
hand.
REHEARSAL DINNER
We
will offer a ten percent (10%) discount on your rehearsal dinner meal when you
contract us for your wedding reception. Many of Caribbean Caterers' items are available by the tray for delivery from our affiliate, The Shadow Chef. This is an ideal solution if you will not require set up or service.
